Executive PA / Office Manager – Bellville Cape Town

Our Client a reputable Financial Industry concern in Bellville is looking for an experienced Executive PA / Office Manager with min 5 years Executive PA Office Manager experience.

Salary is R 240 000 – R 330 000 per annum all benefits included – Hours are from 8am to 16:30pm

Qualification Requirements  

Matric and relevant secretarial tertiary qualification (advantageous)

Excellent in Excel, Ms Office and Typing of 65WPM -70WPM

Advanced Excel

Excellent PowerPoint experience

NQF 4 Essential

Minimum of 5 years working experience in an Executive PA/Office Management position preferably within the financial service provider environment / investments environment

Car & License

 Job Responsibilities

Executive PA duties like diary management, co-ordinating of meetings, conferences and functions

Answering telephones and screening calls

Arranging travel arrangements, bookings, Executive Typing skills of correspondence, notes, minutes of meetings, reports. Preparation and printing of slides from basic outline and arranging graphics and layout

Collate figures and prepare analyse reports

Assist with compiling tender documents

Dispatching or correspond via email

Develop and maintain filling systems

Petty Cash Management and recording

Deal with customers queries and complaints by recording and responding

Marketing – ensure team has enough promo items and stock for distribution to clients

Ensure there are enough company profiles, ICS profiles healthcare brochures, diaries, calendars ect

Proof reading and tying of all documents – double checking spelling and grammar before distribution

Secretarial duties -Recording & Conveying messages, maintain and update database of clients,

Fund Expenses and Recoveries – submit invoices for approvals, request and forward cheques, ensure record keeping, record keeping of all invoices

Financial – Receive P&L report and to be checked, ensure record keeping, obtain necessary documentation and file

Ordering of Office Material like stationary filling boxes ect ect

Office Management – Supervise Receptionist and ensure Reception and lounge area are clean, update reception roster, supervise the maintenance of all office equipment, monitor and ensure monthly staff telephone reports

Personnel / HR function – Ensure new candidates get application forms when recruiting, ensure that all new staff documentation and details are authorised and send to head HR department, submit leave forms to H/O
